Your information, handled with care.

This notice explains how OmniAgent handles information from this website and business enquiries, and how to exercise your privacy rights.

Privacy notice · Last updated

Who is responsible?

OmniAgent is responsible for deciding how personal information collected through this website and our enquiry process is used. This notice is informed by South Africa's Protection of Personal Information Act, 2013 (POPIA).

For privacy questions or requests, email support@omniagent.co.za with the subject “Privacy request”. We will route your request to the person responsible for privacy matters.

What we collect

  • Enquiry information: your name, email address and message, plus any company, phone number, service interest or budget range you choose to provide.
  • Correspondence: follow-up emails and information you share while discussing a potential engagement.
  • Technical information: IP address, browser information and submission time may appear in enquiry emails and hosting or mail logs. The form also uses a hashed IP address and request timestamps to limit repeated submissions. A hash is not a guarantee of anonymity.

Required form fields are marked with an asterisk. Other fields are optional. Without the required information and enquiry consent, we cannot process a form submission. You can also contact us by email.

Please do not submit passwords, payment-card details, identity documents, sensitive personal information or confidential client records through the form. Arrange an appropriate channel with us first.

Why we use your information

We use enquiry details to respond, understand your requirements, arrange discussions and prepare proposals. We use technical information to operate the website, troubleshoot delivery problems and prevent spam or abuse.

The form asks for your consent to process your enquiry. Depending on the activity, processing may also be necessary to take steps towards a contract at your request, meet legal obligations, or protect legitimate interests such as website security. We do not treat an enquiry as consent to marketing or add form submissions to a mailing list.

Who may receive it

Enquiries are delivered by email to the OmniAgent team. Hosting and email providers process information as part of delivering those services. Relevant specialists may need access to information for a proposed or agreed engagement; access should be limited to what their role requires and subject to appropriate confidentiality arrangements.

We do not sell enquiry information. Information may also be disclosed where required by law or necessary to establish, exercise or defend legal rights.

Some service providers may process information outside South Africa. Where a transfer occurs, the applicable POPIA requirements must be met, for example through adequate protection in the receiving country or binding safeguards.

Cookies, fonts and measurement

The current website code does not set analytics or advertising cookies, run visitor analytics, or use advertising pixels. You do not need to accept tracking cookies to use the site.

Fonts load from Google Fonts. Your browser therefore contacts Google, which receives connection information such as your IP address and browser request details. See Google's privacy policy for its handling of that information.

If we introduce analytics or other tracking, this notice and any required choices will need to be updated before those tools are enabled.

Retention and protection

Enquiry information is sent to email inboxes rather than stored in a website enquiry database. Copies may remain in mail systems, logs and backups. The form's rate limiter considers submissions in a ten-minute window; that window is not a promise that all related files or logs are deleted after ten minutes.

Our retention principle is to keep personal information only for as long as needed for the enquiry, any resulting relationship, and applicable legal or record-keeping obligations. Retention depends on the record and purpose; this notice does not promise a fixed deletion deadline. You can ask us about retention of your specific records or request deletion where applicable.

The site includes measures such as input validation, restricted access to backend configuration and submission rate limits. No website or email service can guarantee absolute security. Where a security compromise triggers notification duties, POPIA's applicable requirements must be followed.

Your choices and rights

Subject to POPIA's conditions and exceptions, you may request access to personal information we hold about you, ask for correction or deletion, object to processing where applicable, or withdraw consent for future consent-based processing. Withdrawal does not undo lawful processing already carried out or override another lawful reason to retain a record.

Email support@omniagent.co.za describing your request. We may need proportionate identity verification before disclosing or changing records. Please do not send an identity document unless we have agreed a suitable way to provide it.

You may lodge a complaint with the Information Regulator (South Africa). Its website provides current complaint procedures and contact details.

Changes and project information

We will update this notice when the website or its information practices change. The date above identifies the latest revision. Client projects may involve additional confidentiality, data-processing and retention terms agreed separately.
